Position Description

To provide additional administrative support to the Executive Assistant and to the office of the Senior Vice President of the University College.

Primary Responsibilities:

Support of the Office of the VP, UC


• Create / Compile annual budgets for all departments under the SVP office (Modular Program, Student Development, Centre for Academic Excellence, Counselling Services).
• Draft, process and file expense reports, cheque requisitions and invoices.
• Process monthly credit card payments.
• Monitor spending and balances in all budget lines, year-end accruals.
• Create and distribute all University College part-time contracts and pay sheets.

Modular Program & CAE Assistance

• Draft, distribute and file course contracts.
• Process pay sheets.
• Obtain, review and file course syllabi & course evaluations.


• Collaborate and assist the SVP Executive Assistant with different tasks and projects.
• Participate in departmental committee meetings as assigned by SVP Executive Assistant.
• Assist in departmental/institutional special assignments/events as assigned by SVP Executive Assistant.
• Assist with departmental semester responsibilities. (Ex: course evaluations, syllabi & data analysis.)
• Assist in coordinating UC department events.

Supporting the Student Development Department

Position Qualifications:


• College Diploma in Administration or similar


• Minimum of 2 years related experience
• Related experience in a non-profit and/or educational institution

Skills and Abilities

• Excellent interpersonal skills, as well as excellent written and verbal communication skills
• Strong customer service skills
• Intermediate-level computer skills (i.e. but not limited to MS Office, Excel, Word, Internet)
• Strong administration skills and organizational skills with excellent attention to detail
• Strong time management skills with the ability to multitask, prioritize, and work efficiently in a fast-paced environment

Physical and Mental Demands

• Moderate – high level of stress. Respond to inquiries with a high degree of patience and diplomacy.
• May encounter challenging people from time to time. 
• Must be able to act to get immediate help for a client who comes in a mental health crisis.
• Must be able to work with distractions and very frequent interruptions.
