Campus & Conference Services Associate (Full-Time)

Position Description

The Campus & Conference Services Associate provides client care services and oversees the day-to-day functions of events logistics and food services.  The Associate is a key liaison between Campus & Conference Services clients and all associated service providers.

Primary Responsibilities

Event Logistics and Coordination

  • Coordinate internal and external bookings by assisting with events from idea to implementation
  • Work closely with the Facilities Team and meet regularly with Campus & Conference Services team to ensure successful events
  • Coordinate booking rentals and services (including setups, catering, A/V) as necessary
  • Participate in weekly BEO meetings
  • Assist in the development of policies and procedures, as needed
  • Assist in emergencies (fire drills, first aid emergencies, etc.)

Campus & Conference Services Administration

  • Coordinate existing Events Management Software and any other software that may be used
  • Proper recording of all relevant details to ensure accurate customer invoicing and month-end reporting; follow up on payments
  • Assisting CCS Admin to provide for the day-to-day operation of the CCS office including all room bookings, meal cards, and record keeping
  • Monitor and respond to all online requests in a timely manner
  • Convey Tyndale’s policies and procedures to clients as necessary and ensure customer compliance
  • Assist, when required, with basic training on Event Management Software as required for new employees
  • Assist with the development of the department budget, as necessary

Food and Custodial Services Coordination

  • Manage the catering and operations calendar for Campus Services and Conferences and the food and beverages team
  • Coordinate food service “Hours of Operation” notices and signage, as necessary
  • Coordinate food service orders with food and beverage team for functions ensuring orders are fulfilled as ordered and on time
  • Assist with the development and coordination of catered event menus (regular and unique)
  • Work alongside CCS-Admin with custodial and laundry contractors ensuring service agreements are met, including guestroom cleaning, annual residence deep clean, steam cleaning and waxing etc
  • Work with CCS-Admin to manage guestroom supplies and linens inventory
  • Work closely with Reception regarding guest room bookings and readiness of rooms prior to rental (rooms must be physically checked after cleaning, before hand-over to reception)

Position Qualifications

Education

Undergraduate degree or diploma in Business Administration, Event Planning, Project Management or other related field

Experience

  • Minimum 2-3 years of event planning experience, including administrative and customer service experience
  • Experience in a Christian non-profit, and/or educational institution, preferred
  • Experience with event management software preferred

Skills and Abilities

  • Strong organizational and administrative skills, with strong attention to detail
  • Extremely strong customer service skills
  • Computer proficiency with experience in MS Office, in particular, Word/Excel and Outlook
  • Proven problem solving skills
  • Working knowledge of basic processes of financial transactions is required; basic accounting knowledge, preferred
  • Excellent written and verbal communication skills
  • Strong capability with database management
  • Ability to work independently and as a team member

Physical and Mental Demands

  • Stamina required for hands-on work and walking, including lifting 15-20 lbs (e.g. linen, event supplies etc.)
  • Work outside of regular business hours required on occasion
  • Moderate stress may result from multiple project deadlines and multiple distractions
  • May encounter challenging people from time to time; important to maintain a calm and professional demeanor; listening to the customer's needs
