Position Description

To provide exceptional customer service to internal and external clients resulting in repeat and increased business for the department. The role is responsible to liaise with all departments providing services to ensure seamless execution, exceeding customer expectations on the day of the event.

Primary Responsibilities

Event Logistics and Coordination

  • Work closely with the Facilities Team and meet regularly with Campus & Conference Services (CCS) team to ensure successful events.
  • Work closely with CCS Associate on weddings and receptions including coordination of rehearsals and tours as needed.
  • Participate in weekly Banquet Event Order meetings.
  • Coordinate food service orders with food and beverage team for functions ensuring orders are fulfilled as ordered and on time.
  • Check event spaces in advance to confirm cleanliness, room setups, etc.
  • Assist Facilities with setups and teardowns as necessary.

Campus & Conference Services Administration

  • Enter and keep updated event details in the Event Management Software.
  • Record all relevant event details and charges to ensure accurate customer invoicing and month-end reporting.
  • Assist CCS Admin in the day-to-day operation of the CCS office including all room bookings, meal cards, and record keeping.
  • Monitor and respond to all online requests in a timely manner.
  • Convey Tyndale’s policies and procedures to clients as necessary and ensure customer compliance.

Position Qualifications

Education

Two years post-secondary training or equivalent, (ie. Community College, Technical Institute or Trade School)

Experience

6 months to 1 year related experience

  • Able to multi-task, prioritize, and work efficiently in a fast-paced environment
  • Able to work independently as well as part of a team
  • Proficiency in use of internet/search engines, computer programs/applications (i.e. Microsoft Word, Excel, PowerPoint)
  • Strong inter-personal and customer service skills with the ability to be a persuasive, professional advocate for the organization
  • Strong organizational and administrative skills, with attention to detail and accuracy

  • Light physical effort (ability to lift up to 20lbs or equivalent)

  • Work outside of regular business hours
