Coordinator & Administrator of Chinese Ministry (Part-time)

Position Description

The Coordinator & Administrator (Ministry & Office) will support key Hudson Taylor Centre programs and operation on a day to day basis. The Centre Administrator will work with the Centre’s executive team and associate ministry teams. The incumbent will also liaise with other departments in Tyndale University, the Tyndale community, the Centre’s external ministry partners and supporters.

For day-to-day operations, and general office operations, the incumbent will be supervised by the Open Learning Centre’s administration of Tyndale University, or its appointee.

Part-time hours: 21 hours

Primary Responsibilities

  1. Internal & external coordination & liaison with
    1. HTC director, associate directors, & project leaders
    2. Tyndale University administration & operation
    3. Tyndale alumni
    4. External ministry partner organizations, e.g. SEND
    5. Chinese churches community, to establish a presence of and to promote the Centre’s ministry
    6. External donors and supporters
  2. Office administration
    1. Day-to-day office administration
    2. Ministry operation support, e.g. setting up of meetings, e.g. facility bookings, attendance notifications, & documentation.
    3. Preparation of budget, financial monitoring and day-to-day bookkeeping of financial ins-&-outs
    4. Recruit & manage volunteers
  3. Technical administration
    1. Organize and liaise with Tyndale IT department to produce and run online programs that support HTC functions (e.g. production, arrangement, management of HTC websites, e-seminars, e-courses).
    2. Administer online data and social media presence & communication for HTC, e.g. Facebook, WhatsApp, emailing, etc.
  4. Publication and communication administration
    1. Editing and production HTC publications (Tyndale Link, promotion materials)
    2. HTC functions (seminars, promotion events, etc), their preparation, organization, promotion, hosting, & following up
    3. HTC Seminars, conferences & courses, and communication with participants

Position Qualifications

Education

Community college or undergraduate university graduate, or equivalent.

Experience

1 - 2 years related experience

Skills and Abilities

  • Ability to liaise, coordinate and administer
  • Ability to work independently and as part of a team
  • Ability to take initiative and prioritize, with excellent time management skills
  • Flexibility and adaptability to handle multiple and competing priorities
  • Proficiency in written communication in both English and Chinese
  • Proficiency in oral communication in English and in either Cantonese or Mandarin. Ability to communicate in both Cantonese and Mandarin will be a desirable asset.
  • Proficiency in basic hosting of meetings and events
  • Proficiency in use of internet/search engines, computer programs/applications (i.e. Microsoft Word, Excel, PowerPoint)
  • Proficiency in the set up and maintenance of online social media presence & communication, e.g. Facebook, WhatsApp, emailing
  • Proficiency in using online tools & utilities, e.g. online data storage and transfers, Dropbox, etc.
  • Strong interpersonal skills with the ability to interact and build relationships proactively
  • Strong organizational and administrative skills, with attention to detail and accuracy

The following knowledge and familiarity is desirable but not mandatory:

  • Chinese church community, especially in the GTA region
  • Tyndale alumni
  • Environment and operation of education/academic institution
